As an Organizing Chairperson (OC), you are required to take these steps when organizing a project:
1. Before becoming an OC, please be prepared to take up full responsibility for the event or project. If you have trouble in any field of your event, do not hesitate to seek advice from any of the club's Board of Directors (BOD).
2. Depending on how big your event will be, please create a team with the appropriate post. The most important posts are secretary and treasurer.
3. When writing a proposal, you are required to use the club's standard proposal template which can be found on top of this page. Just click on the picture and you will be able to download the template.
4. Submit your proposal to your Group Leader. You need to do it a month earlier for external events or three weeks earlier for internal events before the proposed date of the event. Your group leader will then review your proposal before sending it to the BOD to be approved.
5. Once the BOD have approve your event, you must print out the proposal and look specifically for Membership Director of the club to fill in some forms before submitting it to C&S.
6. If the project is held outside of Monash University, you will need to provide the insurance details (get from Membership Director) and submit it to C&S.
7. Liaison with C&S MUSA. You must then work with Membership Director to discuss matters with C&S and please keep in check with C&S whether your proposal is approved by MUSA and Monash University.
8. Upon completion of a project, you as the OC must prepare a PAR Report and it must be submitted to the club's Secretary. The PAR Report template can be found on top of this page as well.
